No. Applicants must be graduates of a US based medical program as well as have completed their residency in the US.

I am applying for the Educational Projects Award. Part of my proposal includes a release and dissemination of web-based educational materials or learning tools (such as videos, etc.) to be used by the public or health care professionals. Do I need to place a legal disclaimer on these materials releasing the ASMF from any liability associated with any educational tools and resources developed as a result of this grant?

Yes. In the event that the educational materials are used by the public or health care professionals, it is expected that responsibility and any liability for use of this information will remain with the Principal Investigator and the Principal Investigator's institution (referred to as "Grantee").

The Foundation disclaims all responsibility for any liability, loss, or risk, personal or otherwise, which is incurred as a consequence, directly or indirectly, of the use or application of any of the materials contained in any educational projects created by a Principal Investigator as a result of the Educational Projects Award funded by the ASMF.

The institution in which I completed my sleep medicine fellowship does not yet hold ACGME accreditation. However, I fit all the other criteria for the grant category, am I still eligible to apply?

What is the process for extending a grant?

The principal investigator is responsible for requesting an extension in writing to the ASMF. The request must include:

  1. Scientific jurisdiction, including progress to date
  2. Length of extension requested
  3. Plan for use of funds during extension period
  4. Accounting of the funding already received and how it has been used

A one-time no cost extension, which shall not exceed 12 months, may be made if additional time beyond the established expiration date of the term is required to assure adequate completion of the research project. Additional extensions will not be permitted.

If I do not complete the project must I return the funds?

Yes. Any funds not used by the principal investigator for purpose of the research project must be returned to the ASMF. The ASMF reserves the right to audit any institution that received grant funding. The sponsoring institution is required to retain all records and reports related to the grant contract for a period of three years from the date of the end of the contract term.

The final payment will be distributed to the grantee’s institution upon receipt and approval of the final report from the principal investigator.

What is a typical distribution of the grant payments?

Grantees will receive up to 3 grant payments dependent upon the length of the project and total amount awarded. First payment is in the form of a cash advance upon receipt of signed grant award contract. Second payment is provided following receipt of progress report. Third and final payment is released following receipt of final report.

The first payment will be distributed to the grantee’s institution upon receipt of an IBR approval naming the study/principal investigator for which ASMF finding has been granted, and a signed grant contract.

I anticipate a transfer to another institution at the time of award decision. Can I still apply and transfer my grant to another institution if funded?

Yes. Transfers are acceptable providing that grantee will work directly with both institutions and the institution to which the grant is being transferred issues an official letter to ASMF accepting the transfer. ASMF reserves the right to forfeited the grant if major revisions are made to the sample grant contract available on its Web site.

My institution’s grants management office is unable to accept some of the terms and conditions of the ASMF contract and most likely will request changes should I receive an award. Can I still apply?

No. The grants office must review the ASMF sample agreement beforehand to ensure that no revisions will need to be made should an applicant be awarded funding by ASMF. Exceptions will not be made.

My institution has applied for a status of a Comprehensive Academic Sleep Program of Distinction and is awaiting a decision. Am I eligible to apply while my institution’s status is pending?

No. ASMF will only accept grant applications from institutions that hold the status of a Comprehensive Sleep Center of Distinction at the time of application.

The mentor plan should include the background and level of experience of the mentor, description of the research environment, skills taught to the investigator during the period of the award, time commitment of the mentor, and methods used to monitor the applicant and the progress of the research.

The dates of projects will be dictated by the timeline set for the review process and decision by the ASMF Executive Board as well as other preliminary approvals or preparations. Typically it takes 2-3 months from the time successful applicants receive an award notification to obtain an IRB approval and complete the contract. For example the 2010 PSTA & ABSM grant cycle notifications will be issued in February 2010; this will most likely allow applicants to start the project on June 1, 2010.

Indirect costs include taxes, administrative costs, personnel, security, etc. These costs are not directly related to the salary, and supplies needed to conduct a study.
